Processing of (personal) data by the entity in charge of the online application process
General information
This data privacy statement refers exclusively to data collected as part of the online application process and is to inform you in accordance with Art. 13 GDPR about how such personal data is handled at our end.

Personal data collected as part of the application process
Personal data means any information concerning the personal or material circumstances of an identified or identifiable individual. This includes information such as, for example, your name, address, telephone number and date of birth, but also data relating to your specific career etc. by reference to which a specific individual can be identified with reasonable effort. However, information which cannot be (in)directly associated with your real-life identity is not personal data.
In particular, the following mandatory data is collected during the process:
- name (first and last names);
- e-mail address; and
- phone number.
The provision of this mandatory data is required for processing your application. Without this information, we cannot process your application or enter into an employment relationship with you.
The following optional data may be provided:
- LinkedIn profile (optional); and
- channel through which you found us.
Furthermore, you can choose to upload expressive documents such as a cover letter, your CV and reference letters. These may contain additional personal data such as date of birth, address, picture etc.
The collection of mandatory data is based on our legitimate interest in processing your application according to Art. 6 (1) b) GDPR. The provision of optional data and uploaded documents is based on your consent (Art. 6 (1) a) GDPR), which you can withdraw at any time without affecting the lawfulness of processing based on consent before its withdrawal (Art. 7 (3) GDPR).
Only authorized HR department staff have access to your data during the initial application process. Interviewers (including direct supervisors and department heads/team leads) gain access to your profile only when they are invited to participate in the interview process.
Fundamentals and purposes of processing personal data collected from application documents and during the application process
If you apply to us electronically, i.e. via e-mail or using our online form, we will collect and process your personal data for the following specific purposes:
- Assessment of your qualifications and suitability for the advertised position;
- conducting the application process (including interviews and selection procedures); and
- in case of successful application: preparation of employment contracts and transition to employee data processing.
By submitting an application via our recruitment website, you express your interest in taking up work with us. In this context, you transmit personal data, which we will use and store exclusively for the purposes mentioned above during the application process.
Our legitimate interest in processing your mandatory application data lies in the efficient conduct of our recruitment process, the assessment of candidate suitability, legal compliance, and the documentation for potential discrimination claims.
Please note: If you are hired, your data will be processed according to separate employee data protection provisions as outlined in our internal employee information.
Legal basis
We process your personal data for the initiation, implementation and execution of a (potential) contract in accordance with Art. 6 para. 1 lit. b GDPR. Additionally, we may process mandatory application data based on our legitimate interest in conducting an efficient recruitment process (Art. 6 (1) f) GDPR). The personal data is stored, as a rule, exclusively for the purpose of filling the vacancy for which you have applied. If you enter into an agreement with us, your data may also be processed in order to fulfil legal obligations pursuant to Art. 6 para. 1 lit. c GDPR, e.g., to meet applicable legal requirements regarding occupational health and safety, immigration law or tax regulation.
Where you grant us an explicit consent to process your data, the legal basis is Art. 6 para. 1 lit. a GDPR.
Duration of Storage
Your data will be stored for a period of six months after the application process has been concluded. After this period, we will delete or anonymize your data (Art. 17 GDPR). In case of anonymization, the data will only be available to us in the form of so-called metadata, without any direct personal reference.
We use this anonymized data for statistical analysis based on our legitimate interest in optimizing our recruitment processes (Art. 6 (1) f GDPR) - for statistical analysis (for example, share of male and/or female applicants, number of applications per specified period of time).
Furthermore, if you grant us your explicit consent, we have the right to store your data for 3 years after the application process has been concluded for the purpose of adding it to our Talent Pool in order to identify any other vacancies that may be of interest to you (Art. 6 (1) a) GDPR). This includes, for example, applications for apprenticeships or internships. You may withdraw this consent at any time (Art. 7 (3) GDPR), which will result in immediate deletion of your data from the Talent Pool. If you withdraw your application, your data will generally be deleted immediately, unless retention is necessary for the establishment, exercise or defense of legal claims (Art. 17 (3) e GDPR).
Should you be offered and accept a position with us during the application process, we will store the personal data collected as part of the application process for at least the duration of your employment and the expiry of applicable limitation periods (§ 26 BDSG in connection with Art. 6 (1) b) GDPR). In cases where no employment relationship is established, we may store data beyond this period if necessary to defend against potential legal claims.
Disclosure of data to third parties
Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. This database is operated by Personio GmbH, which offers a human resource and applicant management software solution (https://www.personio.com/legal-notice/). In this context, Personio is our processor under article 28 of the GDPR. The processing is based on a data processing agreement between us as the controller and Personio, which ensures compliance with GDPR requirements.
Your data will be accessible to the following recipients:
- HR department staff (throughout the process)
- Direct supervisor for the advertised position (only when invited as interviewer)
- Department head/team lead (only when invited as interviewer, where applicable)
Data processing takes place exclusively within the European Union. No transfer to third countries outside the EU occurs.
We do not disclose your personal data to other third parties without your explicit consent, unless required by law.
Rights of data subjects
If we as the controller process personal data, you as the data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and the purpose of the processing, in particular the right of access (article 15 of the GDPR) and the rights to rectification (article 16 of the GDPR), erasure (article 17 of the GDPR), restriction of processing (article 18 of the GDPR), and data portability (article 20 of the GDPR), as well as the right to object (article 21 of the GDPR). If the personal data is processed with your consent, you have the right to withdraw this consent under article 7 para. 3 of the GDPR.
You also have the right to lodge a complaint with a supervisory authority (article 77 (1) GDPR) if you believe that the processing of your personal data violates the GDPR. The competent supervisory authority is:
